PRODUCTION PLANNING AND SCHEDULING SPECIALIST

PRINT SOLUTIONS

Position Location: York, PA

Hours: Full-Time | 8:00 AM – 5:00 PM

Scope: This position is responsible for all cost-estimated activities in accordance with the rules and policies of The YGS Group. The position is responsible for assessing data to determine financial, time, material, and labor requirements, managing, controlling, planning, coordinating, reporting, expediting, and monitoring the flow of work and materials within or between departments in accordance with the production schedule. Duties include reviewing and distributing production work, and shipment schedules; conferring with department managers to determine progress of work and completion dates; and compiling reports on progress of work, creating and distributing the weekly overtime report, and conducting schedule meetings to provide updates to Production and Account Managers. The position also interacts with third party vendors to ensure the needs of the business are met in a timely manner The position is responsible for ensuring that all related operational systems, production equipment, maintenance schedules, repairs, and work processes are continually evaluated to ensure proper functionality, relevance, utilization, and overall efficiency. The position evaluates and implements process improvements, performance measures, and management methods designed to reduce rework, increase return on investment, optimize workflow efficiency, and foster innovation across operations.

Essential Functions

  1. Schedule, plan, coordinate, and control printing processes for all production departments within Print Solutions.
  2. Review documents, such as production schedules, work orders, and staffing levels, to determine human resources, material requirements, and/or material priorities.
  3. Hold AM daily schedule meetings with production managers and account managers to share status updates or changes in schedule.
  4. Distribute production schedules, and/or work orders to departments.
  5. Schedule and confirm order specifications and coordinate adjustments, as needed.
  6. Available to answer scheduling issues 24/7 and to provide updated schedules when necessary.
  7. Compile data, or documentation and prepare regular reporting, as assigned.
  8. Work with other production departments and customer service departments according to the scale of the work-in-hand.
  9. Confer with department supervisors, or other personnel to assess progress and discuss needed changes.
  10. Will have a comprehensive knowledge of production techniques that accurately and economically produce products according to customer requirements.
  11. Works with purchasing agent to schedule the delivery of materials needed to meet the production schedule.
  12. Responsible for the planning and forecasting of the production operations. To include leading and controlling the direction of the day-to-day resources and operations, across all shifts and coordinating activities and resources with other functions and departments as needed.
  13. Attend, actively and collaboratively participate in the daily production status meetings.
  14. Review production schedules, available materials, and workforce resources, continuously each day. Make necessary adjustments to ensure production quality, estimates, and delivery commitments are maintained and satisfied.
  15. Inform associates of production and material problems and coordinate with support departments to resolve problems affecting schedules. Resolve production issues that arise and keep management informed of issues.
  16. Analyze available production and financial data to inform operational decisions and activities. Responsible for the attainment of goals for productivity, expenditures, staffing, waste, quality, safety, on-time delivery, and customer satisfaction.
  17. Work collaboratively with others, internally and externally, to ensure customer satisfaction, improved efficiency, and increased revenue is realized, through the implementation of processes, systems and software, and equipment, which will generate higher productivity levels and revenues and lead to more efficient turn around on billing and receivables.
  18. Work in team settings to ensure seamless integration and interaction with all departments across the organization.
  19. Additional time as needed to support the business.
  20. Develop and implement preventative maintenance schedules for all equipment.
  21. Participate in establishing and modifying operational methods and processes by recommending changes in materials, equipment, and procedures.
  22. Create, maintain, and update a variety of reports, records, and production documentation to ensure alignment with manufacturer specifications, industry standards, schedules, performance metrics, and operational processes.
  23. Ensure that all safety related policies and procedures are in place and enforced (OSHA, Hazcom, Lockout/Tagout, Ladder/Lift).
  24. Performs other duties as assigned.

Education:

  • High school diploma or GED equivalent, required.
  • Bachelor’s degree, in Business/Industrial Management, Industrial Engineering, Graphics Arts and Communications, or related field, preferred.

Skills & Experience:

  • Prior experience in a high-volume print production environment; understanding of materials, production processes, quality control, costs, and other techniques for maximizing the effective manufacture and distribution of goods, required.
  • Experience in the business and management principles involved in planning, resource allocation, production methods, and coordination of people and resources, within a commercial print environment, required.
  • Knowledge of arithmetic, algebra, geometry, statistics, and their applications, required.
  • Demonstrated knowledge of USPS regulations and Domestic Mail, required.
  • Expertise in Microsoft Office; Word, Excel, Outlook, required.
  • Knowledge of EFI – Pace system, a plus. The ability to communicate information and ideas in writing so others will understand.

  • Ability to effectively interact with direct reports, management, support departments, and other internal customers as well as external customers.
  • Exceptional knowledge of all aspects of the functions and duties of the bindery and finishing production areas.
  • Competence in MS Office (Outlook, TEAMS, Word, Excel, Power Point) and other related applications (Pace and Printflow) and scheduling systems.
  • Understanding of print, bindery, and finishing process including prepress procedures, platemaking, paper grades, printing registration, color, and chemistry as well as collating, finishing, and shipping processes.
  • Knowledge of materials, equipment, safety requirements, and skills to perform assignments.
  • Skill to read and understand job specifications to determine materials needed to run the job successfully.
  • Ability to read and interpret a variety of instructions in written, verbal, diagram, mathematical and/or schedule form and deal with several abstract and concrete variables.
  • Knowledge of equipment capabilities to determine the most appropriate use and corrective adjustments required to run efficiently.
  • Ability to define routine and complex problems, collect data, establish facts, and draw valid conclusions.
  • Ability to effectively set work directions and adjust priorities according to changing business needs.
  • Understands and applies company policies and procedures, including quality and production standards.
  • Ability to perform multiple tasks with strong mindfulness.

Physical Requirements:

Physical demands described here are representative of those that must be met by an associate to successfully perform the essential functions of this job.

  • Able to interpret information effectively, listen, speak clearly, and communicate effectively.
  • Able to ascend and descend stairs and/or ladder, bend, stoop, twist, reach, push, pull, lift, lower, and grasp, regularly.
  • Able to frequently lift 20 pounds and occasionally lift 50 pounds.
  • Able to maintain good attendance.
  • This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, fax machines, and filing cabinets.
  • This position will be exposed to hazards within the manufacturing environment, including but not limited to hazardous chemicals, loud noises, manufacturing equipment, etc. Personal Protective Equipment is required.
  • Fast paced, high volume, manufacturing environment.
  • The environment is not exposed to extreme changes in temperatures or weather conditions.
  • Temperatures may vary between work areas.
  • The environment is regulated via systems.
  • Noise level moderate to loud in operations area.
  • Able to be flexible with schedule to include working overtime in support of the workload, or working a different shift, as needed.
