MEDIA & EVENTS SALES COORDINATOR Associations/Publisher Solutions

Position Location: York, PA

Hours: Full-Time, Monday – Friday, 8:00 AM – 5:00 PM


The Sales Coordinator is an integral member of the Media & Event Sales team, supporting the team with a variety of administrative tasks. The Sales Coordinator communicates primarily with internal Media & Event Sales team members.

Essential Functions 

The position exists to perform the essential functions as outlined below. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.


  1. Point person for Salesforce maintenance, including, but not limited to:
    • Entry and updates to sales information (leads, accounts, products, tasks, etc.)
    • Maintenance and creation of lead/contact campaigns.
    • Generation of reporting, including sales reporting, production reporting and other reports as needed.
    • Lead research and database maintenance to ensure contacts are up to date.

Ad/Asset Reporting, Collection and Trafficking

  1. Creation and distribution of ad run sheet reports to clients and internal staff.
  2. Print and digital event-related ad/logo collection outreaches to advertisers (primarily email; phone calls as necessary), utilizing ad collection and design software to preflight assets to ensure ads are to spec.
  3. Archive ads according to documented guidelines.
  4. Proofing ad placements to ensure all ads are included, artwork matches what was supplied, and ads are placed in the correct positions.
  5. Sending metrics and other data to advertisers, sales team, and clients.

Event/Account Management Support

  1. Setup and maintenance of floorplans and event documentation with or without an exhibitor/event management platform.
  2. Assists Event Manager in the creation and maintenance of event inventory trackers for exhibits, presentations, and sponsorships.
  3. Assists Event/Account Managers with:
    • Sales and client call shadowing
    • New client onboarding as needed
    • Market research in support of sales
  4. Files physical copies of publications received at the Market Street office
  5. Other duties as assigned.


  • High school diploma or GED required.

Knowledge, Skills, Abilities & Experience

  • Experience in an ad collection/trafficking or account management role preferred.
  • Proficient in Microsoft Office products on Mac and PC platforms, including Teams and SharePoint.
  • Experience working in a CRM, Salesforce preferred.
  • Working knowledge of Photoshop and Adobe Acrobat Professional preferred.
  • Knowledge of preflight and printing specifications preferred.
  • Excellent oral and written communication skills, as well as organizational capabilities are necessary.
  • Flexible team player who learns quickly, can work independently, has outstanding prioritization and time management skills, has a proven ability to multitask, and works well under pressure.
  • Ability to maintain a fast pace and work with a sense of urgency.
  • Valid driver’s license and reliable transportation required.

Work Environment

  • This position is stationary approximately 90% of the time.
  • The individual in this position needs to move around inside the office areas to access files, operate office machinery, etc., regularly.
  • May carry weight, lift (to a height of 3–4 feet), transfer, position, or remove materials up to 20 pounds occasionally, and up to 10 pounds regularly.
  • Will use fingers, hands, and arms to feel, grasp, handle, push, pull, lift, lower, and position objects and/or materials as needed.
  • Will use feet and legs to climb stairs or ladders, balance, ascend, and descend as needed to complete work assignments.
  • Must communicate, listen, hear, speak, converse with, and/or convey information as needed.
  • Regularly operates a computer and other office machinery, such as a calculator, copy machine, and computer printer as needed.
  • The person in this position frequently communicates with coworkers, customers, and business partners to complete work assignments. Must be able to exchange accurate information in these situations.
  • Must see, detect, determine, perceive, identify, recognize, judge, observe, inspect, estimate, and assess information as needed.


  • Valid driver’s license and reliable transportation, required.
  • This position may require occasional travel and overnight stays of approximately 5% of total hours annually to attend trade shows, conferences, and industry events whereby YGS is attending, presenting, or exhibiting or to travel to additional worksites.
