Production Manager

Position Location: York, PA

Hours: Full-Time, Non-Exempt| Monday – Friday, 8:00 AM – 5:00 PM

Scope: An essential member of the A/PS Team, the Production Manager is dedicated to supporting the digital/technology work within the department. This position is responsible for creating and maintaining project schedules for top-tier clients, supporting resource allocation, managing client and vendor billing, and developing and maintaining process documentation. Communication with clients may be required at times; however, this position is primarily internal facing. Project types include but are not limited to storefronts, websites, digital editions with advanced DRM capabilities, e-commerce sites, e-directories, and custom digital solutions. To ensure success in this role, the ideal candidate should demonstrate exceptional multitasking ability, active listening, effective communication skills, and the ability to function in an everchanging, fast-paced environment. The Production Manager will report directly to the Business Solutions Director.

Scheduling

  • Schedule creation, maintenance, and monitoring deadlines in the assigned project management system.
  • Manage resource allocation and bandwidth across the Technology team members.
  • Various reporting as needed to assess schedules, analyze resource allocation, and financial data
  • WV system setup and management (Advantage) 
  • Participate in internal project kick-off meetings to understand the scope of work.
  • Prepare for and lead the department stand-up meetings where workload and deadlines are reviewed.

Account Services

  • Management/setup of vendors and clients on Egnyte (admin access)
  • Creation of client and project folders on Egnyte
  • Archiving completed jobs
  • Processing and tracking of client invoices, including projection tracking. 
  • Processing and tracking vendor invoices, including projection tracking.
  • Handle client communication as needed if team members are out of the office, or the project dictates additional involvement from scheduling.
  • Communication and coordination with vendors to ensure proper setup and training in our PM tools.
  • Continuously demonstrate commitment to clients’ needs and confidentiality.
  • Will attend meetings and YGS-related events as needed.

Process and Software Management

  • Become the lead expert on existing PM software and be able to research/recommend alternative solutions and/or workflows to create efficiencies.
  • Stay current on software functionality and capabilities
  • Keep training and process documentation current and contribute to department process creation

Other Responsibilities

  • Performs other duties as assigned.
  • Works additional time as needed.

JOB SPECIFICATIONS

Education and Experience:  

  • High School Diploma or GED required.
  • Bachelor’s Degree in business, marketing, or related field preferred.

Knowledge, Skills, Abilities & Experience

  • At least 3 years of experience in project or production management or account management in an agency environment, required.
  • Expertise with business-specific applications and systems such as CRMs, project management, and office suites, required.
  • Experience with quality assurance testing.
  • Comfortably and confidently uses a computer and specialized software, including but not limited to Microsoft Word, Excel, Outlook, and project management software.
  • Demonstrates a strong ability to identify and analyze problems and competently translate problems into practical solutions.
  • Gives full attention to detail, team, client meetings, and discussions; ensures accuracy and understanding of expected tasks and objectives.
  • Strong communication skills including writing with command of appropriate grammar, style, vocabulary, and proofreading ability. Demonstrates confident and articulate public speaking and presentation skills in live and remote virtual environments.
  • Strong organizational skills, including a systematic approach in carrying out assignments to lead and keep project delivery on target.
  • Ability to manage multiple tasks at one time and quickly and accurately shift attention among multiple tasks under distracting conditions without loss of accuracy or appearance of frustration.
  • Valid driver’s license and reliable transportation required.

Physical Demands

Physical demands described here are representative of those that must be met by an associate to successfully perform the essential functions of this job.

  • This position is stationary approximately 90% of the time with the balance of time required interacting or helping with internal and external customers. 
  • The individual in this position needs to move around inside the office areas to access files, operate office machinery, etc., regularly.
  • May carry weight, lift (to a height of 3–4 feet), transfer, position, or remove materials up to 20 pounds occasionally, and up to 10 pounds regularly.
  • Must communicate, listen, hear, speak, converse with, and/or convey information as needed.
  • Must see, detect, determine, perceive, identify, recognize, judge, observe, inspect, estimate, and assess information as needed.
  • Regularly operates a computer and other office machineries, such as a calculator, copy machine, and computer printer as needed.
  • The person in this position frequently communicates with coworkers, customers, and business partners to complete work assignments. Must be able to exchange accurate information in these situations.
  • Will use fingers, hands, and arms to feel, grasp, handle, push, pull, lift, lower, and position objects and/or materials as needed.
  • Will use feet and legs to climb stairs or ladders, balance, ascend and descend as needed to complete work assignments.
  • Position works in temperature-controlled environment regularly. Temperatures are regulated through systems. The environment is not regularly exposed to extreme changes in temperatures or weather conditions.
  • The environment is considered to contain low/medium noise levels.
