This position requires an outcome-based individual to plan, track, coordinate and take ownership of all mailing jobs as they progress through the shop. This includes the movement of mailing jobs through staging, production, verification and dispersion, and ensuring that all mailing drop dates are met. The Mailing Coordinator will maintain the daily mailing production schedule and prioritize resources accordingly. Responsibilities include all facets of the mailing job—mailing lists, printed products and postal documents. The Mailing Coordinator will manage preflight operations for the printed product prior to mail production and will be responsible for the final sign-off after pieces are complete. Additional duties will include printing tags and flags for all mailing jobs and staging components of the jobs in order to ensure efficient operations. This position will be responsible for inventory management of postal supplies needed by the mailing department, and will coordinate resources with the Custom Finishing Lead and Print and Finishing Manager to ensure optimum efficiency.
Mail Professional Certification preferred, or must be willing to obtain at earliest eligible date. High School Diploma or GED equivalency required.
The ideal candidate will have a minimum of five years of related experience. Knowledge of principles, practices and functions of effective mailing operations and USPS regulations required. Working knowledge of BCC Software required. Experience in Microsoft Office (Excel, Word) required. Understanding of Mail.Dat files, Mail.XML files, MIDS, CRIDS and STIDS. Experience in reporting-data analytics and metrics required. Understands the industry, the business and competitive environment within which the organization operates. Individual will act with personal, professional and behavioral integrity to manage interactions, provide service and support the organization. Outstanding interpersonal, oral and written communication and relationship-building skills required. Flexible team player who learns quickly and can work both independently and within a team. Outstanding prioritization and time management skills and a proven ability to multi-task. Driven, able to maintain a fast pace and work with a sense of urgency.
This is approximately 60 percent a sedentary role with the balance of time required interacting or helping with internal and external customers and various duties. The position will require the ability to speak, hear, see, sit, bend, stand, stoop, push, pull, lift, lower and grasp as necessary. Attend staff meetings as required. Standard operation hours of work are Monday through Friday, 8 a.m. to 5 p.m., 40 hours per week. Additional time as needed to meet the demands of the business. Valid driver’s license and reliable transportation required.
